How to Reduce Daily Work Requests by 20 Percent

Planners and marketers in their first to third years are always busy. If you spend your time handling endless requests, the work that actually contributes to your own performance gets pushed to the back burner. If you find yourself worried about lingering tasks even after clocking out, there is a problem with your current approach. Simply working harder won't solve it. You need a process to technically prioritize tasks and clearly filter out what can be discarded.

Filter requests with a scoring system

Treating every request equally will only leave you exhausted. Adapt the RICE model for your personal tasks. When a request comes in, assign scores for Reach, Impact, and Confidence, and divide by the Effort required. Low-scoring busywork should be deprioritized.

When declining, use the method recommended by the American Psychological Association (APA). First, acknowledge the other person's intent, clearly state the deadline for your current core tasks, and suggest exactly one alternative. When a manager gives you a sudden task, say this: "I would love to help, but 80 percent of my resources are currently dedicated to this project. It will be difficult to get to this by Tuesday; would you be able to try extracting it yourself using the data automation tool?" This one sentence can save you over 3 hours of busywork per week.

Eliminate decision fatigue 15 minutes before leaving

If your brain doesn't stop working after you leave, it's because of unfinished tasks. This is known as the Zeigarnik effect. As Cal Newport emphasizes, you must offload your thoughts from your brain. Do these three things 15 minutes before you leave:

  1. Scan your emails and messengers to handle only the ultra-urgent items.
  2. Write down what you completed and what you couldn't in your master work log.
  3. Finalize the top 3 tasks for first thing tomorrow morning.

Finally, close all browser tabs. Saying your "departure declaration" out loud can also help. This reduces the waste of wondering what to work on first when you return the next day.

Turn off notifications to secure deep work time

Notifications fragment your brain. According to researchers at the University of California, Irvine, it takes an average of 23 minutes and 15 seconds to regain focus after being interrupted by a messenger notification. Shopify increased project completion rates by 25 percent by reducing unnecessary meetings, and Asana and Meta have designated certain days as meeting-free.

Type /dnd 2 hours in Slack to turn off all notifications for two hours. It is also good to limit notification settings to mentions and direct messages only. If you leave a messenger status message telling colleagues that you are currently in a deep work session, you can free yourself from the pressure of real-time availability and increase work efficiency by 20 percent.

Prove your achievements with records

It feels empty to work hard but receive no recognition. Use Julia Evans' "Brag Document" method to organize your achievements every Friday. This is not just a record of what you did. You must include quantitative figures, such as lowering CPA by 18 percent or reducing a 4-hour data task to 15 minutes.

Take this record and talk to your team lead. You must negotiate with data, not emotions. If you show the fact that 45 percent of your time is being encroached upon by low-efficiency administrative tasks, your manager will be forced to seriously consider adjusting priorities. Proactively controlling your own time is the only way to prevent burnout.
